All prices listed are GST inclusive.
Arrival and Departure Time:
Check-in is available from 2 pm on the day of arrival. Check-out time is 10am on the day of departure. Early check-in and/or late check-out is by arrangement only.
Smoking:
Smoking is strictly prohibited in all our Motel rooms. Management requests that guests respect and adhere to this policy at all times.
Payment Policy (does not apply to period from 8 September 2011 to 24 October 2011):
Credit card details are secured at time of booking for pre-authorization, however the card will not be charged, and therefore full payment to be made directly to us at check-in.
Bookings may be secured by making a deposit for one night's accommodation.
Cancellation Policy (does not apply to period from 8 September 2011 to 24 October 2011):
Cancellations made 24 hours or more prior to your scheduled arrival will incur no charges. When confirmed reservations are cancelled inside 24 hours prior to arrival, will incur a charge of one night's accommodation against the credit card number held on file. If a deposit has been paid then this will become non-refundable.
Failure to turn up on the booked night is automatically subjected to a charge of that nights accommodation against the credit card or the deposit and the remainder of the booking cancelled.
Payment Methods:
Ascot Epsom Motel accepts the following forms of payment: Visa, MasterCard, American express and Diners Club. Payments made by EftPos or cash must be made in advance and a deposit may be requested.
Ascot Epsom Motel does not accept payment of account by cheque unless arrangements have been made with management.
Payment and Cancellation Policy for all rooms from 8 September 2011 to 13 October 2011:
Credit card details are required to confirm all bookings and full amount of the stay will be charged on reservation.
In the event of cancellation, if made by 31 July 2011, 50% of total amount of the booking will be refunded. No refund will be made on cancellation after 31 July 2011.
Payment and Cancellation Policy for all rooms from 14 October 2011 to 24 October 2011:
Credit card details are required to confirm all bookings and full amount of the stay will be charged on reservation.
The amount is not refundable in the event of cancellation.
Group Bookings Terms & Conditions
A group is defined as 4 or more rooms booked for people requiring accommodation for the same itinerary and/or common purpose.
Payment Policy:
No group booking reservations will be secured or guaranteed unless a deposit for at least 50% of the booking total is received. This must be paid within 5 working days from the time the reservation was first made. Final payment is required upon arrival.
Cancellation Policy:
When confirmed group booking reservations are cancelled inside 7 days prior to arrival, they will incur a cancellation charge of 50% of the total booking charge.
Refunds:
A full refund is given if more than 7 days cancellation notice is given.

Extras:
All charges other than accommodation can be charged to each group-booking guest individually, with charges to be settled by the individual at the time of departure. Unless this is advised then all other charges will be debited to the main group booking account payable by your organisation.
Keys:
The group leader is responsible for all keys. These must be returned to reception on the morning of departure.
Inspection:
On the morning of departure, the group leader must be available for an inspection of all rooms utilised by the group. Any additional cleaning charges or damage charges will be discussed at this time.
